AceMoney Receipts
Store other documents in the Filing Cabinet
Not everything you want to keep is a receipt. AceMoney Filing Cabinet stores scanned documents such as contracts, warranties, ID cards and letters on your phone, reads their text so you can search it, and keeps them separate from your receipts.
Before you begin
- The Filing Cabinet is part of the phone app (iPhone, iPad, Android). The web version shows “AceMoney Filing Cabinet isn’t available on the web — use the AceMoney Receipts app on your phone.”
- Documents are kept on this phone. They are not in your Receipts account or in the web version. With AceMoney Cloud, a phone connected to a document in AceMoney Studio also sends them there; see Sync with AceMoney Studio.
Open the Filing Cabinet
Tap More in the bottom bar, then AceMoney Filing Cabinet (“Scan and organize any document”).
Add a document
- Tap Scan.
- The document scanner opens (the same one as for receipts). Capture each page; a document can have several pages. Finish the scan.
- The app reads the text of every page on the phone and opens Save Document.
- Give it a Title (the default is “Document” followed by today’s date), and optionally a Folder (optional) and Tags (comma-separated), for example “car, insurance”.
- Check the Recognized text (searchable) preview and tap the check mark (Save) in the top bar.
Find a document
- The list shows every document with its page count, title, folder and tags (“Home · #warranty #kitchen”).
- Type in Search title, tags, or scanned text to search everything, including the text read from the pages.
- Tap a folder chip or a #tag chip to show only that folder or tag.
View, edit or delete a document
Tap a document to open it: the title, the folder and tag chips, the page images and the recognized text.
- Edit opens Edit Document, where you can change the title, folder and tags. Pages cannot be added or removed; scan the document again if it changed.
- Delete asks “Delete Document?” and warns that the document will be permanently deleted. Tap Delete to confirm. There is no undo.
The free allowance
The free plan holds up to 5 documents. At the limit, tapping Scan shows a message that the free plan is limited to 5 documents in AceMoney Filing Cabinet and points to Receipts Pro, which removes the limit. Existing documents are never locked or removed. See Receipts Pro and the Mileage plan.
Where documents are kept
- On this phone, where you scanned them. The text is read on the phone; pages and text are stored on the phone.
- Without AceMoney Cloud and a connection to an AceMoney Studio document they are not uploaded anywhere. They are not part of your account: signing in on another phone or opening the web version does not show them.
- Deleting the app, or your account, removes them from the phone. Keep the paper originals of anything important; the app has no export.
Sync with AceMoney Studio
- It needs AceMoney Cloud on your account and this phone connected to a document in AceMoney Studio: tap More, Settings, the Sync tab and, under AceMoney Studio, Connect to AceMoney Studio.
- Once connected, each document you scan (title, folder, tags, pages and the text read from them) is sent, end-to-end encrypted, to that Studio document. Studio shows it on its Filing Cabinet page, where you can search it and delete it; documents are added only from the phone.
- Changes to a document’s title, folder and tags, and deleting it on the phone, follow.
- Another phone connected to the same Studio document shows these documents marked “From another device”. They can be read there and changed only on the phone that scanned them.
- A document of more than 20 pages stays on the phone and the list shows “Too long to sync”. When your 2 GB of cloud storage is full, new documents stay on the phone.
- Sync on Wi-Fi only on the Sync tab holds uploads until the phone is on Wi-Fi.
- Without AceMoney Cloud the Sync tab says “Filing Cabinet sync needs AceMoney Cloud” and documents stay on the phone.
Documents from an older version
If you used the Filing Cabinet in an older version of the app that kept documents online, a banner says that some documents “from before this update are still only in the cloud” and asks whether to import them to this device. Tap Import; the app confirms how many documents were imported “from the cloud to this device” and notes that they are still also stored there.
Platform notes
iOS (iPhone and iPad)
Uses the built-in document scanner; the first scan asks for camera access (on iPhone the prompt explains that the camera photographs receipts and scans device enrolment codes, and that a receipt photo is saved to your AceMoney account).
Android
Uses the system document scanner. If Android closes the app during a scan, the app says “Capture was interrupted — try again.”
Web
Not available. The web version shows a message pointing to the phone app.
Common questions
What is the difference between a receipt and a document?
A receipt has a payee, an amount and a date, and counts in charts, budgets and the sync to AceMoney Classic. A document is any paper you want to keep and find again; it has a title, a folder, tags and searchable text, and no amount.
Can I add a photo from my library instead of scanning?
No. Documents are scanned with the camera.
Can I move a document to another folder later?
Yes. Open it, tap Edit, change Folder (optional) and save. A folder exists as long as a document uses it.
Are the tags shared with receipts?
No. Receipts have no tags; the Filing Cabinet’s tags and folders are its own.
Is the text of my documents sent anywhere?
Not by itself: the text is read on the phone and stays there. If the phone is connected to an AceMoney Studio document through AceMoney Cloud, the text is sent with the document, end-to-end encrypted.
Can I store a PDF?
No. The Filing Cabinet stores scans made with the camera.
Can I get my documents onto a new phone?
Not by signing in: documents are not in your account. Connect the old phone to an AceMoney Studio document through AceMoney Cloud, then connect the new phone to the same document; it shows them as read-only copies. The app has no export, so keep the originals.
Troubleshooting
- Scan does nothing, or a message about the free plan appears. You have 5 documents on the free plan. Delete one you no longer need, or upgrade to Receipts Pro.
- “Capture was interrupted — try again.” The system closed the app during the scan. Scan again.
- “Failed to process document: …” A page could not be read. Scan again with better light.
- “Failed to save: …” The phone could not write the document, often because storage is full. Free some space and save again.
- Search does not find a word I can see on the page. The recognized text is only as good as the scan. Open the document and check the recognized text; rescan the page flat and well lit, or add the word as a tag.
- My documents are gone after reinstalling the app. They were stored in the app on the phone; reinstalling removes them unless Android’s own backup restored them. The app itself cannot recover them, but if they were sent to AceMoney Studio, connecting the phone to that document again shows them as read-only copies.
