Make your yearly tax pack
Once a portfolio is set up as a business, Studio can gather a year of its books into one pack for the person who prepares your return: a Schedule C worksheet by line, your other expenses, your mileage, the contractors you paid, your invoices and your receipts, plus a short checklist of things to fix first. The pack comes out as one PDF and a set of CSV files. This page shows where to find it, what each part holds, where the files go, and what the pack does not do.
Before you begin
- The portfolio must be set up as a business; see Set up your business. Otherwise the Reports page shows no tax pack line.
- Give your categories their tax lines first. The pack follows them; see How the pack follows your tax lines below.
- Optional: enter the home office size and switch on the standard mileage rate in the business details (Settings ▸ Document ▸ AceMoney Business ▸ Edit business details ▸ More details). Both are explained below.
Open the tax pack
- Choose Reports in the navigation rail.
- Near the top of the page, the line Yearly tax pack for this business appears. Tap Open tax pack.
The page is titled with the year, for example Tax pack 2025. The line shows only when the active portfolio is a business. If the page is opened for a portfolio that is not, it says “This portfolio is not set up as a business yet. Use “Set up my business” in Settings.”
Choose the year
The Tax year choice lists the years Studio has Schedule C lines for. The page opens on the most recent year that has ended, because a pack is made after the year is over. Pick another year and the figures, the checklist and the pack are worked out again for it. If a year has no lines, the page says “This version has no Schedule C lines for” that year.
The pack covers the calendar year, January to December. If the business details say the business year starts in another month, the checklist tells you; see Before you file.
What the page shows
Three figures for the year: Gross receipts, Deductible expenses and Net profit (or loss). Under them the page says: “This pack helps you or your tax preparer fill in Schedule C. It is not tax advice; check every figure before you file.” Below that are the Before you file list, the line “The PDF and the CSV files are written in English.”, and the button that saves the pack.
Deductible expenses is the Part II total, with meals at their deductible share and the mileage deduction included. Net profit (or loss) also counts returns, cost of goods sold and other income, and takes off line 30 for the home office, so it is not always gross receipts less the middle figure. Studio does not round to whole dollars; that is for your preparer.
The figures come from the active business portfolio’s transactions dated in that year. Transfers between your own accounts are left out, and a split transaction counts once per split line, each under its own category.
What the pack contains
The first page of the PDF carries your business name and address and the same sentence, “This pack helps you or your tax preparer fill in Schedule C. It is not tax advice; check every figure before you file.” The PDF holds these parts in this order, each starting on a new page. Every part except the receipt images also comes as its own CSV file.
Before you file. The checklist, below.
Schedule C summary. Part I and Part II in one table with the columns Line, Description, Amount and Deductible.
- Part I: Income lists the lines that have amounts: gross receipts, returns and allowances, Net receipts, cost of goods sold, Gross profit and any other income, followed by Gross income when there is other income.
- Part II: Expenses lists each expense line that has money on it, with what you spent and what is deductible, then Total expenses and Tentative profit. Meals show the full amount under Amount and their allowed share under Deductible; the line reads “Deductible meals (50% deductible)”.
- Line 30, “Expenses for business use of your home (simplified method)”, comes next. The table ends with Net profit (or loss).
Other expenses (Part V). Each category you gave the Other expenses line is listed by name with its total, and the table ends with a total.
Vehicle, Contractors (1099-NEC), Invoices issued in the year, Receipts and Receipt images follow, described below. A part with nothing in it says “None in 2025.” with the year.
Line 30: the home office
Studio uses the simplified method only. It takes the square feet from Home office (square feet) in the business details and counts at most 300 of them at 5 dollars a square foot, so line 30 can come to at most 1,500 dollars. These figures come with the app for each tax year, and are the same for 2025 and 2026. With no square feet entered, there is no line 30.
The deduction never makes a loss or adds to one. When the figure is larger than the profit before it, this sentence appears under the Schedule C table:
The simplified method comes to X. It is limited to Y, the profit before this line, because it cannot make or add to a loss.
X is the full simplified-method figure and Y the smaller amount used. In a loss year there is no line 30. Studio treats all of the business’s gross income as the home’s and carries nothing over to another year.
Vehicle
The part is headed “Vehicle: standard mileage” with the year. It uses your mileage log, so it needs the switch I use the standard mileage rate on in the business details and trips classified as business; see Track mileage.
- It lists the year’s business trips (Date, Vehicle, Purpose, Distance, Deduction) and a total. The mileage log belongs to the whole document, not to one portfolio.
- The rate comes from the year’s Schedule C lines, not from the Rates tab: 70 cents a mile for 2025 and 72.5 cents a mile for 2026. A note under the table gives the rate and the date it starts from. A trip takes the rate in force on the day it was driven, by its local date.
- The total is added to the car and truck line in Part II, and the Schedule C summary says “The car and truck line includes” the amount “from the mileage log.”
- With the switch off, the part says “The business details do not choose the standard mileage rate, so the mileage log is not used.”
Contractors (1099-NEC)
This part lists each person you paid on a line that reports to a 1099-NEC (contract labor) once their total for the year reaches the threshold: 600 dollars for 2025 and 2,000 dollars for 2026. Someone paid exactly the threshold is listed. The note under the table reads “Contractors paid” the threshold “or more in” the year “on a line that reports to a 1099-NEC.” The columns are Contractor, Address and Paid; the address is the one on the payee (see Payees, tags and banks).
A payment with no payee cannot be added to anyone, so it is left out and the checklist counts it. The list shows what the register shows and the register does not say how a payment was made, so the list shows every payment on that line, however it was made.
Invoices and receipts
The invoices part lists the invoices issued in the year (Number, Customer, Issued, Status, Total, Paid), with a total row. Status is Sent, Paid or Void; drafts are left out. “Void invoices are listed and not counted in the totals.” Paid is the sum of the deposits linked to the invoice; see Invoices. Because an invoice payment is an ordinary deposit, it reaches Part I through its income category, not through this list: if that category has no tax line, the money is missing from gross receipts and the checklist says so.
The receipts part lists the files attached to the year’s business transactions (Date, Payee, Amount, Tax line, File); a receipt on a category with no line shows “No tax line”. The receipt images part then draws each image under a caption, scaled to fit the page. A file that is not an image is listed and not drawn: “This file is not an image; it is listed above and not shown.” A file Studio cannot read says “The file could not be read.”
Before you file
The checklist has nine checks, each with a tick when it needs nothing and a warning when it does. The sentences are written in English, on the page and in the pack. Each shows the first form when it is fine, and says how many when it is not.
- “Every business transaction has a category.” Otherwise: how many have none, and their net amount.
- “Every category used this year has a tax line.” Otherwise: how many are used with no tax line, so they are not on the return, then their names and amounts.
- “No invoice is waiting for payment.” Otherwise: how many are not fully paid, and the amount outstanding.
- “Every trip of the year is classified.” Otherwise: how many are not classified as business or personal.
- “Every business trip has a mileage rate.” Otherwise: how many have none and are not in the deduction.
- “Every receipt is matched to a transaction.” Otherwise: how many are not.
- “Every listed contractor has an address on file.” Otherwise: how many have none, then their names.
- “Every contractor payment names a payee.” Otherwise: how many name none, so they are left out of the list.
- “The pack covers the calendar year.” Otherwise: “The business year starts in” the month, “and this pack covers the calendar year” and the year.
Fix what you can and reopen the page; the checklist is worked out again each time. Checks 4 and 5 look at trips only when the standard mileage rate is switched on.
Save the pack
On a computer:
- Tap Save the pack….
- Choose a folder and confirm with Save here.
- Studio creates a folder named for the year, such as
tax-pack-2025, inside the folder you chose and writes the files together there: one PDF, and seven CSV files (Before you file, Schedule C, other expenses, vehicle, 1099-NEC, invoices and receipts). A message says “Saved to” and the path.
On a phone or tablet the button is Share the pack…. It hands the PDF and CSV files to the share sheet, so you can send them to your preparer or save them to a drive. A message says “Shared” when you finish.
If you close the picker or the share sheet without finishing, nothing is written and nothing is recorded. If something goes wrong, the page says “The tax pack could not be made.” and nothing is recorded.
The pack is not stored in your document. Studio makes it from your books each time, so a save a month later holds the changes you made in between.
The record of each pack
Each time a pack is saved, Studio keeps a small record in the document: the portfolio, the tax year, the moment, which year’s Schedule C lines were used, and the three figures the page showed. It holds no files and no transactions, and no screen lists these records yet.
How the pack follows your tax lines
Every category can hold a tax line, the line of the return it belongs to. In the category editor the field is Tax line, with the helper “The Schedule C line this category belongs to, for 2025.” Choose a tax line offers Suggested lines from the category’s name, the Income and Expenses lists, and Personal (not on the tax return).
- Each transaction goes to the line of its category. Change a category’s line and the next pack follows.
- A subcategory with no line of its own uses its parent’s: a transaction in “Office:Software” asks that category first and then “Office”.
- Line 30 never comes from a category, only from the square feet in the business details.
- A category with no line, or marked Personal (not on the tax return), is not in the figures. The checklist names it.
- When a new year of lines is ready, Reports shows “The Schedule C lines for 2026 are ready. Look over the tax lines of your categories.” with Review categories. A line the year does not have shows in the editor as its code followed by “(not in the 2026 lines)”.
What the pack does not do
- It does not file anything and sends nothing anywhere. The files stay where you put them until you pass them on.
- It is not tax advice. The pack says so on the page and on the first page of its files: “This pack helps you or your tax preparer fill in Schedule C. It is not tax advice; check every figure before you file.” Studio adds up your books by the lines you chose, so check every figure.
- It does not work out depreciation (the Form 4562 figures) or the actual-expense method for the home (Form 8829). Those figures are your preparer’s.
- The thresholds, mileage rate, meals share and home-office figures come with the app for each tax year. If one changes, a later version carries the new figure; the pack does not guess.
Common questions
Can I change the pack before I save it?
Not on the page. Change the books (a category, a tax line, a trip, a payee address), then open the page again; the pack is rebuilt from them.
Are the files in my language?
No. The PDF and the CSV files are written in English whatever language Studio is in.
Does an invoice count as soon as I issue it?
It shows in the invoice list from the day it was issued (drafts excepted). Gross receipts count only money that came in, which is the deposits in your income categories.
Troubleshooting
- The Reports page has no tax pack line. The active portfolio is not set up as a business, or this copy of Studio does not offer Business. See Set up your business.
- A checklist item names a category. Give it a tax line, or mark it Personal (not on the tax return) if it should not be on the return, then reopen the page.
- The vehicle part says the mileage log is not used. Turn on I use the standard mileage rate under Edit business details ▸ More details.
- No line 30. Enter Home office (square feet) in the business details, or the year has no profit before the line.
- A contractor is missing from the list. They were paid less than the threshold, the payments are on a category not on the contract labor line, or a payment has no payee.
- “The tax pack could not be made.” Try again. If the folder is on a drive that is full or read-only, choose another folder.
